ConfluenceView (“we”, “us”) provides video meetings on the web at confluenceview.com and in the ConfluenceView iOS and Android apps (application ID com.confluenceview.app). This policy explains what we collect, why we collect it, who we share it with, and the choices you have.
Who this policy covers
It applies when you visit our website, create an account, join or host a meeting, use the mobile app, buy a Pro plan, or contact support. Guests who join a meeting without an account are covered for the information they provide in that session.
Information we collect
Account and profile
If you register or update your profile we store:
- Name, email address, and phone number (including country calling code)
- Password (stored as a one-way hash, not in plain text)
- Country and timezone you choose
- Optional profile photo
- Account status (active, deactivated) and, if you deactivate, the reason you give
Meetings
When you create or join a meeting we store meeting details needed to run the service, including meeting code and title, host, schedule (if you set one), join and leave times, and meeting history linked to your account. Co-moderators you assign are stored so they can manage the room.
Live camera, microphone, and screen-share media are processed on our self-hosted Jitsi Meet servers so participants can see and hear each other. We do not keep a copy of live audio or video unless you (or another participant with recording enabled) start a recording.
Recordings
If recording is enabled for a meeting and someone records, the file is saved to your ConfluenceView account so you can play or download it later. Recordings may also be stored on the device of the person who recorded. Do not record a meeting unless everyone involved has agreed.
Chat and translation
In-meeting chat is delivered as part of the live meeting. If you use Translate, the selected chat text is sent to third-party translation services (Google Translate and, as a fallback, MyMemory) so we can return a translated version. We do not use those messages to build marketing profiles.
Contacts
If you add contacts we store the name, email, and phone number you enter so you can invite people and assign co-moderators. Only add people you are entitled to contact.
Support
Support tickets and replies (and any files you attach) are stored so we can help you. We may email you about your ticket using the address on your account.
Payments
If you buy Pro, payment is handled by our payment processor (Paystack or Flutterwave, depending on configuration). We receive confirmation of payment, plan, amount, and a processor reference. We do not store full card numbers on our servers.
App and website technical data
- Session cookies on the website so you stay signed in
- A session token on the mobile app (sent as
X-CV-Session) so API calls are authenticated - Device permissions the app needs to work: camera, microphone, network, and Bluetooth (for audio devices). Profile photos use your photo library if you choose one.
- Basic server logs (IP address, time, request URL) used to operate, secure, and debug the service
The mobile app talks to our API using a server API key configured in the app build. That key identifies the app to our servers; it is not your password.
Notifications
If push notifications are enabled, we use OneSignal to send meeting and co-moderator alerts. That involves sharing an identifier such as your email with OneSignal solely to deliver those messages. You can disable notifications in your device settings.
Information we do not sell
We do not sell your personal information. We do not use your meeting content for advertising. The ConfluenceView mobile app does not currently show ads.
How we use information
- Create and secure your account, and let you sign in on web and mobile
- Host, join, and manage meetings, contacts, recordings, and history
- Send transactional email (invites, password reset, support, plan receipts)
- Process Pro payments and enforce plan features
- Translate chat when you ask us to
- Keep the service reliable and investigate abuse or security issues
- Comply with law where we are required to
Who we share information with
We share personal data only as needed to run ConfluenceView:
- Meeting participants. Others in a room can see your display name and anything you share (video, audio, screen, chat).
- Our Jitsi Meet hosts (including app.confluenceview.com / meet.confluenceview.com) to carry the live conference.
- Email delivery for invites, receipts, and support.
- Payment processors (Paystack and/or Flutterwave) for Pro checkout.
- Translation providers when you use chat Translate.
- OneSignal when push notifications are turned on.
- Hosting and infrastructure providers that store our application and database.
We may disclose information if required by law or to protect users, our service, or others from fraud or serious harm.
Retention
We keep account, meeting, contact, ticket, and recording data while your account is open and as needed to provide the service. Server logs are kept for a limited operational period. When you delete your account we remove or irreversibly de-identify your user record, API sessions, meetings you hosted, and meeting history we store. Some residual copies may remain briefly in backups. Messages already delivered to other participants, and recordings downloaded to other devices, are outside our control.
Your choices
- Update name, email, phone, country, timezone, and photo in Profile.
- Change or reset your password.
- Delete contacts you added.
- Download or delete recordings stored on your account.
- Deactivate your account, or use Delete account in the mobile app (or ask us by email) for erasure.
- Join as a guest with only a display name if you do not want an account. Hosts may still see that name in the meeting.
Children
ConfluenceView is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has created an account, contact us and we will delete it.
Security
We use HTTPS, hashed passwords, and session tokens with expiry. No method of transmission or storage is completely secure. Please use a strong unique password and do not share meeting codes with people who should not join.
International processing
We operate from Nigeria and may process data on servers in other countries that host our website or meeting infrastructure. If you use ConfluenceView from another country, your information will be transferred to those locations in order to provide the service.
Changes
We may update this policy when the product or the law changes. The “Last updated” date at the top will change, and the current version will always be at https://confluenceview.com/privacy-policy. Continued use after an update means you accept the revised policy.
